Privacy Policy

This policy explains what information Waterline Poolworks LLC (“Waterline,” “we,” “us”) collects through https://waterlinepoolworks.com, our customer portal, and Helm, the internal operations software we run our business on, and how we use it. It applies to customers, prospective customers, and visitors.

What we collect

Contact and account information. Name, service address, billing address, email, phone number, and gate or access notes you give us so our technicians can service your pool.

Service records. Visit dates, water chemistry readings, chemicals added, photos of your pool taken during service, repair notes, and messages you exchange with our office.

Billing information. Invoices, payment history, and payment method details. Card and bank details are collected and stored by our payment processor (Stripe); we never see or store full card numbers.

Website usage. Standard analytics and advertising measurement (Google Ads and Meta tags) that record page views, form submissions, and click-to-call actions. These tools may set cookies. We do not sell this data.

How we use it

To schedule and perform pool service, dose chemicals correctly for your pool, send service reports and appointment notices by text or email, bill you and process payments, respond to your requests, and improve our routes and service quality. We use aggregated, non-identifying data to understand how our website is used.

Accounting integrations (QuickBooks)

Waterline connects Helm to our own QuickBooks Online company file to reconcile our business bookkeeping. This connection reads our company’s accounting records—invoices, payments, bills, and expenses—so that our internal ledger matches our books. It is used solely for Waterline’s internal accounting. We do not access, store, or process any other business’s QuickBooks data, and we never share QuickBooks data with third parties beyond our own accountant and the service providers listed below.

Who we share it with

We share information only with vendors that help us run the business: hosting and database providers (Vercel, Supabase), our payment processor (Stripe), our email and messaging providers (Microsoft 365, Twilio), our accounting software (Intuit QuickBooks), and our accountant. Each is bound to use the data only to provide their service to us. We may also disclose information when required by law or to protect our rights. We do not sell personal information.

Text messaging

If you give us your mobile number, we may text you service reports, appointment reminders, and replies to your messages. Message and data rates may apply. Reply STOP to any message to opt out and HELP for help.

Data retention and security

We keep service and billing records for as long as you are a customer and as long as tax and business-record laws require afterward. Data is stored on encrypted infrastructure with access limited to Waterline staff who need it to do their jobs. Access tokens for third-party integrations are stored server-side and are never exposed in the browser.

Your choices

You can ask us to correct or delete your information, export your service history, or stop marketing messages at any time by contacting us at the address below. Deleting an account does not remove records we are legally required to keep, such as invoices.

Children

Our services are for adults and businesses. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy we will update the date at the top of this page and, for material changes, notify current customers by email.
